Manager of Donor Services

Job Summary:

Reports to the vice president of philanthropy and works in conjunction with RI’s development team.  Responsible for the daily, strategic management of the donor database, with a keen understanding of pipeline development. Manages all gift processing, daily gift log production, data requests, mailing list requests, tax receipts, acknowledgement letters, and financial revenue tracking and reporting.  Oversees the process of stewarding donors in conjunction with the vice president of philanthropy and other development team members.  Responsible for conducting prospect research for individual, corporate and foundation donors.  Responsible for building a comprehensive direct mail program and monthly sustainer program, as part of annual giving, working in partnership with all development team members.  Minimum of five to seven years of database management experience with Raiser’s Edge required. 

Specific Job Duties/Responsibilities:

  • Responsible for the daily management and maintenance of the donor database with tremendous integrity and discretion. 

  • Preserves, protects, and updates all donor data regularly, especially donor contact information, personal/biographical information, wealth research, and other pertinent data related to giving potential. 

  • Effectively manages the tax receipt and gift acknowledgement process, mailing tax receipts and acknowledgement letters within 24-48 hours of receiving a gift. 

  • Updates acknowledgement letters quarterly and provides unique, tailored acknowledgements to high-level major gift donors and board members. 

  • Works closely with all development team members to steward gifts, serving as the “front line” for receiving and acknowledging donor gifts.  Notifies fellow team members and/or prospect managers of donors’ gifts in a timely manner. 

  • Consistently provides outstanding customer service to all donors and donor requests, following donor privacy protection protocol and RI’s gift acknowledgement policies.

  • Creates a daily gift log (DGL) to provide updates about incoming gifts, highlighting gifts that need to be acknowledged by either the president of Refugees International or the vice president of philanthropy. 

  • Enthusiastically participates in overall strategic planning for the development team.

  • Responsible for producing monthly donor activity reports for individual members of the development team and team’s aggregate donor metrics.   

  • Works respectfully and collaboratively with all board members, committee members, council members, agency leadership, and fellow staff members.

  • Ensures RI’s donor stewardship standards are being upheld through all communication (written and verbal), stewardship events, and general donor interactions.

  • Seeks out Raiser’s Edge training and skill development, actively pursuing growth opportunities and honing database management skills. 

  • Devises an ongoing workplan to complete annual goals. 

  • Fulfills all other responsibilities, working evenings and weekend hours as needed. 

Education and Experience Qualifications:

  • Bachelor’s degree required

  • Master’s degree or advanced degree preferred

  • Minimum of five to seven years of Raiser’s Edge database management, with a clear understanding of pipeline development, required.

  • Excellent relationship management and development skills

  • Strong organizational, interpersonal, writing, and communication skills

  • In-depth knowledge of fundraising principles and practices

  • Ability to think strategically and to implement effective plans to help achieve revenue goals

  • Ability to work independently and serve as a leader when needed

  • Ability to forecast needs of development team members and provide data, mailing lists, and reports in advance of rolling deadlines

  • Keen understanding of the budget process, expense management, revenue projection, and revenue reporting

  • Ability to work successfully in a culture of transformative change

  • Ability to work closely with finance and operations team members to produce accurate revenue projections and reports
